Mercian Ltd takes your privacy seriously, and, as a business that holds personal data relating to your company, this policy explains what information we hold and how we will use /not use it.
We obtain information directly from your Company from direct phone call/email/correspondence with you.
We hold your company information within our accounts system. This information includes; company name, address, telephone numbers, email addresses VAT number, bank account details, company registration and website.
We have a legitimate interest in requesting and keeping your personal data. We require this information for the following reasons:
We will only request and collect the minimal amount of data from you to enable us to complete these tasks.
We are committed to ensuring that your information is secure. In order to prevent unauthorized access or disclosure we have in place suitable physical and electronic procedures to safeguard and secure the information we hold on computer and paper.
All Supplier and Customer data is stored
Your personal information will be accessed only by a limited number of personnel within the Company solely for the purposes of administering your account and to facilitate trading with you.
We only store data supplied by you which enables us to continue to do business with you and we never disclose any of this information to third parties other than to our professional advisors and HMRC. We may pass your information onto our third party service providers for the purposes of completing tasks and providing services to you on our behalf, eg our bank to process payments. However, when we use third party service providers we disclose only the information that is necessary to deliver the service. Please be assured that we will not release your information to any other third parties beyond Mercian Ltd unless we are required to do so by law.
We will not send you any marketing material and we will not sell your information to any third party.
If you believe that any of the information we are holding for you or your company is incorrect please write to or email us and we will update your records accordingly.
You have a right to request a copy of all the information we hold for you. Any requests should be made in writing and we will respond as soon as possible. You also have the right to withdraw your consent to your data retention however, as detailed above, we do have a legitimate interest in holding your data to enable our companies to trade and we are legally required to retain your data for a statutory period of time.
We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations. We will hold your personal information on our systems for as long as is necessary for the purpose it was obtained unless a longer retention period is required or permitted by law to ensure that we do comply with all statutory requirements. At the end of the retention period all data is securely deleted/destroyed.
